The Document Control Assistant is responsible for supporting the Document Controller with all aspects of the documents library.
The role is responsible for ensuring that accurate logs of inbound and outbound documents are kept and available, assisting in the resolution of on-site queries about document versioning and provision.
The individual will support the primary owner and users of the Project Electronic Document Management System (EDMS) and Corporate as necessary.
·         Control documentation produced internally and externally following established procedures and in an efficient yet accurate manner
·         Maintain and accurately update information in the EDMS
·         Maintain and distribute documents, drawings, comments, technical queries and correspondences according to the Project distribution matrix
·         Format documentation, as required
·         Work within the Document Control Team to assist with ensuring that critical daily deadlines are met
·         Provide a high standard of service across the Project company
·         High efficiency and accuracy of work task execution
·         Remain flexible and adaptive to new processes, as required
·         Support Training of Company Staff and Contractors in the application of the EDMS, as and when required
·         Support and assist in any upgrades of the system
·         Ability to work independently and within the team and self-motivated in daily work tasks under the guidance of line managers, following established procedures
·         Work with Contractor, Sub-Contractor and other associated Companies Document Controllers to ensure consistency in the execution of document management process and document control procedures
·         Ad-Hoc duties, as required
Minimum Standards & Selection Criteria
·         Document Control Support experience in the Energy / Power industry
·         Experienced working with EDMS or similar systems
·         Knowledge of Microsoft suite
·         Experience working with Contractors and Suppliers
·         Collaborative work ethic in a multi-cultural environment, open to views of others and willing to cooperate in order to achieve the company goals
·         Exceptional attention to detail and meticulous organisation skills
·         Willing to take ownership and responsibility whilst understanding the reporting lines and directives of management
·         Uphold the reputation of the company at all times
·         French speaking advantageous but not essential
